Your Part in Our Mission:

The Executive Assistant/Business manager is responsible for acting as a point of contact and providing administrative support in the key priorities and objectives for the Chief Executive Officer.

The Executive Assistant/Business manager is highly organized, gets the details right, and is able to anticipate what needs to be done. In this position, you'll partner with and support the CEO in calendar management and execution of company-wide initiatives. This is an excellent opportunity to work closely and cross-functionally with the executive team to curate company culture within the context of how an organization runs. The ideal person is creative, a self-starter, and one who can shift gears between independent work and collaboration.

This role must prioritize effectively in a fast-paced environment and stay calm under pressure. And have the ability to see (and plan) around corners. You know there’s a problem – and you know how to fix it – before anyone else.

This role must be deeply relationship-oriented and understand the value in building relationships with all Tinybeans team members, that will allow them to anticipate needs, intuit the dynamics of the team, and seamlessly step into and out of workflows across the company. You are a team player and believe that the way you get something done is as important as getting it done.

This role should also be adept at overseeing small projects, and assuring they get completed on time and on budget. This would include skill at tracking tasks and deadlines, and assuring that people assigned to those tasks have what they need. Possible projects include completion of important decks, events, small projects, etc. Extraordinary attention to detail is absolutely critical.
This is a NY based position.

You will …

  • Provide thought partnership to the CEO on company’s strategic direction and the executive leadership team’s priorities, including strategy development, evaluate new ideas and business opportunities, and conducting analysis and research to support key decisions.

  • Lead special strategic projects that the CEO personally oversees (or has a keen interest in), including driving to successful outcomes

  • Drive content creation and briefs for key internal and external meetings/initiatives (BRT Meetings, Board materials, key client meetings, executive off-sites, and the like)

  • Coordinate projects or initiatives directly involving the CEO and direct reports

  • Cultivate strong relationships and liaise with senior leadership team and department heads

  • Manage the CEO’s complex schedule and perform a variety of administrative tasks

  • Serve as the main point of contact on scheduling matters including planning company-wide meetings and assisting senior staff in calendar management

  • Provide the CEO with briefings and preparation for meetings as needed

  • Coordinate logistics for internal and external events such as staff retreats, Board meetings, and conferences

  • Oversee corporate travel arrangements

  • Assist on numerous specialized projects related to the Executive Assistant’s professional interests and goals

  • Provide general administrative duties for the CEO which includes scheduling meetings effectively, drafting and communicating on his behalf and route correspondence as required

  • Provide and/or assist with research, the coordination of reports and presentations for both internal and external audiences, as needed

  • Create and maintain correspondence with investors

  • Keep up on professional and technical knowledge by reading and sharing industry news and trade publications, research competitors and establish professional networks

  • Work and operate with very confidential information to maintain the strictness of privacy to only share where it makes sense.

  • Assist in establishing a bridge for smooth communication between Executives and company-wide staff; demonstrating leadership to maintain credibility, trust, and the ability to represent company values

  • Provide ideational, logistical, and administrative support for company-wide events such as the company offsite, conferences, team events, celebrations, holiday parties, and Leadership Team offsites

  • Support Tinybeans leadership team in administrative tasks as needed

Requirements

You must have ...

  • 5+ years of experience in an Executive Assistant position supporting C-Suite executives

  • Experience supporting executives who work closely with Investors and the Board Members

  • Excellent written and verbal communication skills

  • Highly organized, self-starter with ability to handle multiple priorities at once

  • Superior judgement, professionalism, poise, ability to maintain the highest level or confidentiality, and assertiveness

  • Excellent ability to maintain composure and effectiveness in a fast paced environment

  • Organized with high attention to detail; can multitask and prioritize across various initiatives and stakeholders.

  • Must be intuitive, able to anticipate needs and develop options

  • Ability to interact with all levels of the organization

  • Must be able to work independently with minimal supervision

  • Strong administrative, time management and follow through skills

  • Demonstrate proficiency in Google Workspace and Microsoft Office Products
